Data Registration and Processing

Describes the personal data processed in the Nazaré.pt Marketplace. It documents technically all data processed, its purpose, storage, and processing performed.

1. Cross-cutting Data

The following data is processed for all users (authenticated and non-authenticated).

1.1 Age

To comply with legal restrictions on the sale of products to minors, a (functional) cookie is stored with the following information provided by the user.

Question: Are you 18 years or older?

Stored data: Yes/No

Validity: 7 days

Storage: Storage is only done in the functional cookies of the user’s browser.

Processing: The data is only used to hide or not hide products with sales restrictions for minors.

Forgetting: The data is deleted once the Time to Live (TTL) of the cookie expires or by manually deleting browser cookies.

1.2 Bot Verification

A bot verification service is used to add a security layer without interfering with interaction. The cookie described below is used.

1.3 Cookie Name: cf_clearance

Stored data: Token for automatic user verification.

Validity: 30 seconds

1.3 Google Analytics

The Google Analytics service is used, which makes use of cookies and other technologies to collect information from interactions on the Marketplace.

1.4 Traffic Source Data

Metadata related to traffic sources is collected. If the user allows it in the permission dialog, the following data is stored in session cookies.

  • Cookie name: sbjs_current

Stored data: Stores information about the traffic source of the current session: how the visitor arrived at the website during this visit (e.g., search engine, direct link, or marketing campaign).

Validity: 30 minutes

  • Cookie name: sbjs_current_add

Stored data: Stores additional metadata about the current session’s source, such as campaign name, keyword, or content used in URL parameters (e.g., UTM tags).

Validity: 30 minutes.

  • Cookie name: sbjs_first

Stored data: Records the original source that brought the visitor to the website for the first time. This helps identify the initial contact point, even if the user later returns via other means.

Validity: 6 months

  • Cookie name: sbjs_first_add

Stored data: Similar to sbjs_first, but contains additional details about the origin of the first visit, such as campaign or keyword information.

Validity: 6 months

  • Cookie name: sbjs_migrations

Stored data: Used internally by Sourcebuster to track version changes or updates to its cookie structure. Ensures backward compatibility and smooth transition of tracking data.

Validity: 6 months.

  • Cookie name: sbjs_session

Stored data: Stores session-level data, such as timestamps and session duration, to help distinguish between multiple visits. Expires at the end of the browser session.

Validity: Session (expires when the browser closes)

  • Cookie name: sbjs_udata

Stored data: Contains anonymous technical details about the user’s browser, device, and potentially geolocation (based on IP). These data enable precise tracking of the source but do not contain personally identifiable information.

Validity: 6 months

Storage: Storage is performed in the user’s non-functional browser cookies. When placing an order, the data is used to add metadata to it.

Processing: Data is used for statistical processing.

Forgetting: The data subject may request the removal of their data. Since the metadata above is not necessary to comply with any legal obligations, it will be deleted.

2. Orders

The Marketplace allows both authenticated and non-authenticated users to place orders. For authenticated users, the existing profile data is used to pre-fill the corresponding fields in the order.

The data associated with the order, listed below, is required to complete the purchase and delivery.

  • First and last name
  • Tax ID/Company ID (optional)
  • Address: Includes name, surname, company name (optional), country, address, postal code, city, district, phone, Tax ID/Company ID (optional)
  • Email address: Required for transactional communications regarding the order. The email address is verified during the order finalization process to ensure communication viability.
  • Phone contact: Required for delivery logistics of orders.
  • Payment data: For the payment methods “Direct Transfer to Seller(s)” and “In-store payment,” no payment data is stored. Payment verification is performed manually by sellers. For payments through the payment gateway (SIBS Gateway), only transaction identifiers are stored, not personal or payment data of the customer.

Storage: Data is recorded in a database hosted in a high-availability cloud service located in the European Union (AWS RDS service in the Frankfurt data center). Personally identifiable data is encrypted.

Processing: Collected data is used to complete the purchase, ensure delivery, and comply with associated legal obligations.

Forgetting: Data collected from non-registered users is kept only for the period necessary to fulfill the purposes for which it was collected, namely order processing, delivery of products, and compliance with legal obligations, such as tax or accounting duties.

3. Authenticated Users

At the time of user registration, the following data is collected:

  • Email address
  • Password: A hash is created from the value and is irreversible.

The user may also add the following data when managing their account:

  • First and last name
  • Billing address: Includes name, surname, company name (optional), country, address, postal code, city, district, phone, Tax ID/Company ID (optional)
  • Shipping address: Includes name, surname, company name (optional), country, address, postal code, city, district, phone, Tax ID/Company ID (optional)

The user profile also aggregates the following data:

  • List of followed stores.
  • Comments made on stores within the Marketplace.

Processing: Data is used to execute necessary functions (e.g., order shipment, customer notifications).

Forgetting: Collected data will be deleted at the request of the account holder. Deleting the account will automatically delete all profile data.

Portability: The data subject may request data portability. An email will be sent containing all registered data on the Marketplace platform related to the holder.

4. Stores and Sellers

4.1 Sellers

The private data associated with a seller is the same as that of a registered user. See the “Authenticated Users” section.

In addition to common data, sellers have Stores they manage, whose data is described below.

4.2 Stores

Below are the data associated with a Store on the Marketplace.

  • Identification: Name; GPS coordinates
  • Address: Street address; Postal code; Country; Region
  • Electronic contacts: Email; Phone contact
  • Direct payments: IBAN; MBWay number; SPIN number
  • Transactional communications: Number for SMS communication

Storage: Data is recorded in a database hosted in a high-availability cloud service based in the European Union (AWS RDS service in the Frankfurt data center).

Processing: Collected data is used to fulfill purchases and deliveries, and other related legal obligations.

Forgetting: Collected data is retained only for the period necessary to fulfill the purposes for which it was collected, namely order execution, product delivery, and compliance with legal obligations such as tax or accounting. The seller may request the removal of data from the Marketplace manager, who will delete all data not legally required to be retained.

Portability: The data subject may request data portability. An email will be sent containing all registered data in the Marketplace platform related to the holder.
